Although we are not currently hiring for an administrative assistant, someone in this position is a vital part of our team.  Our administrative assistants are the welcoming committee to our clients who call and come in to visit the office.  This person should have a positive attitude with the ability to multi-task. As our administrative assistants grow in their experience, they can expect to learn new skills and take on tasks to help in areas of interest to them. This can include assisting with payroll, e-verification, processing checks, and even bookkeeping and client portals!

We are not currently hiring in these positions, but here is a brief description of your expectations.

Although the skills and tasks for members of our tax and audit teams may vary, there are a few things these positions have in common that we look for in candidates.  First, a willingness to learn.  At hb&k, we expect growth and development into niche areas that interest you.  We place a great emphasis on training and learning and want you to know that in addition to your daily tasks, you should always be reading, writing, listening and learning.  You must be able to work under deadline pressure – while we plan out our projects and prepare for “busy” seasons in advance, crunch time is inevitable, so you’ll need to have great time and project management skills. Our firm has a dynamic team environment –  we share our work and we help each other.  That means sometimes you could be working outside of your department to help another meet a goal.  Be prepared to take on your part of the load. Finally, we want employees who are invested in the success of our clients.  Be willing to investigate problem areas and suggest solutions – we approach our clients as a whole – you won’t be solely focused on tax or audit with them, you should always be looking for ways to help them reach their goals.

Our Client Accounting Services team works directly with clients every day. We ensure business owners have real-time data to help them make the best decisions for their businesses.  You should do more than provide data, you should be looking for areas to offer solutions to help our clients reach their goals. Being able to work in a fast-paced environment and schedule priorities is important in this role.  Since there is a high volume of tasks for a Client Accounting Specialist, you’ll need to be able to ask for help with you need it and share with your team.  You should expect to earn and keep certifications and remain involved in continual learning efforts year-round. Our clients primarily use QuickBooks Online and Xero – you will need to be able to answer questions and provide training in these platforms once you learn them.

The bookkeeper will report to a manager and should be able to work efficiently in a fast-paced and deadline driven environment.  Applicants for this position should expect opportunities to undertake more challenging assignments, clients, and staff responsibilities relating to client accounting procedures.

Responsibilities & Job Duties of the Bookkeeping Associate:

  • Assume full responsibility and ownership of monthly and yearly accounting services to ensure transactions are processed accurately and timely, including:
    • Maintain a variety of complex accounting ledgers.
    • Preparing a variety of complex accounting reports, statements, and tabulations.
    • Balancing and reconciling various accounts.
    • Preparing financial statements and reports.
    • Calculating sales tax, W-2, 1099, 1095 for the client and reporting to governmental agencies.
    • Assisting in developing and implementing accounting methods and procedures.
    • Reconciling expenditures and receipts.
    • Responding to incoming client calls, e-mails, or projects, while ensuring complete customer satisfaction.

Requirements & Qualifications:

  • Experience in Quickbooks, QBO, ACS and/or XERO is highly recommended.
  • Complete high volume of tasks and projects quickly and react with appropriate level of urgency to situations that require quick response and turnaround.
  • Dedicated to superior client service.

Responsibilities & Job Duties of the Payroll Specialist:

  • Assume full responsibility and ownership of payroll processing to ensure transactions are processed accurately and timely, including:
    • Responding to incoming client calls, e-mails, or projects, while ensuring complete customer satisfaction.
    • Maintaining payroll records by collecting, calculating, and entering data.
    • Updating payroll records by entering changes in exemptions, benefits and other HR updates from clients.
    • Understanding of proper payroll taxation for reporting and tax filings.
    • Calculating payroll liabilities by calculating employee federal and state income and social security taxes and employer’s social security, unemployment, and workers compensation payments.
    • Printing reports and checks on weekly, bi-weekly, monthly and annual schedules for submission to clients and governmental agencies.
    • Preparing Social Security, and other tax reports.
    • Calculating and filing of wage reports.

Requirements & Qualifications:

  • Experience in various payroll processing systems.
  • Experience in Quickbooks, QBO and/or XERO is highly recommended.
